World Finals Reminders
"Last Minute" World Finals reminders!!
World Finals is not far away now, and your teams should be in the last stages of getting ready. It's a time of excitement, frazzled nerves, and wondering "Have I done everything that I should?" These are a few last minute reminders for coaches:
Don't forget:
Your paperwork for the judges at World Finals. (remember, you need three copies of your style form for the judges at WF)
Copies of your receipts for cost, you may be asked for them by the judges.
Registration paperwork/release forms:
Copy of your registration form
Copy of lodging and meal reservation form
Copy of receipt/proof of payment for registration/lodging/meals
Media release form for each team member and coach.
Medical form for the University of Maryland Health Center for each team member.
Any props that weren't shipped.
"First Aid Kit" for your props if you didn't ship one with your props.
Plane tickets.
Ground transportation tickets/paperwork.
World Finals t-shirts! This is your uniform for the Opening Ceremony and the Awards Ceremony.
Pins for trading! You will even see trading in the airports on the way to World Finals.
"Snake" inflatables (you'll receive these from our state director before you leave). Bring these to the Opening Ceremony and the Awards Ceremony. People may even want to "trade" for those before the tournament is over!
Camera, film, blank videotapes.
Snacks in the backpacks on the plane. Many times planes don't serve much food, and you don't want hungry kids!
Talk to your kids about travel safety. What to do if they get separated from you, never going off alone, never going anywhere without checking in first with the coach or other adult in the party. That kind of stuff.
At the tournament!!!! Send the coach in to do registration, and let the kids trade pins outside. Registration can take awhile if many teams arrive at the same time.
Dorm keys--we found it helpful to have the coaches keep one key to each of the kids' rooms, and to let the two kids sharing the room share the other key. Keys are often forgotten back in the locked room, lost, etc. and having the extra key with the coach can be a big help!
Phone tree--designate one parent to call at home to give your lodging information and room numbers. Ask that parent to contact the other families at home with the lodging information. Of course, if you have a free long distance cell phone, everyone could call home at no cost!
After you register and get settled in lodging, locate any props that you had shipped. (There is usually someone at registration to tell you where they are located.) Check to make sure no damage occurred in shipping, and repair any damage that did occur.
Find your long term performance site and check it out!
Find the spontaneous competition site.
Keep your return ground transportation and plane tickets in a safe place!
Talk to your kids again about dorm and campus safety.
Hopefully, these hints will help you in your last minute preparations. Please feel free to contact Deanna Day or Chris Eaton with any questions.
